Recruitment Privacy Notice

Our commitment

We are committed to using and managing personal information responsibly and ethically. This notice explains what personal data (information) we will hold about you, how we collect it, and how we will use and may share information about you when you apply for a job with us and during the application process.

Who collects information about you?

Sora Aviation Limited (“we”, “our”, “us”, “Sora”) is a data ‘controller’. This means that we are responsible for deciding how we hold and use certain information about you. We are located at Future Space Bristol, UWE North Gate, Filton Road, Bristol, BS34 8RB, United Kingdom and can be contacted by emailing hello@soraaviation.com.

The type of personal information we collect:

  • Your name and contact details (e.g address, phone numbers and email address)

  • Details of your qualifications, employment and educational history (including job titles and salaries)

  • Disciplinary and grievance information from your academic and employment history

  • Nationality and immigration status including right to work status

  • Details of your referees

  • Any other information you provide to us in your CV

We may also collect store and use the following "special categories" of more sensitive personal information:

  • Information about criminal convictions/allegations and offences

  • Information about your health, including any medical condition, health and sickness records

How is your personal information collected?

We may collect information about applicants and job candidates from the following sources:

  • You, the applicant

  • Online recruitment platforms and jobs sites, including LinkedIn, from which we collect any profile or CV data that you have chosen to share with them

  • Your named referees

  • Recruitment agencies

  • Background check providers

  • Disclosure and Barring Service in respect of criminal convictions

We will use the information we collect about you to:

  • Assess your skills, qualifications, and suitability for the role.

  • Carry out background and reference checks, where applicable.

  • Communicate with you about the recruitment process.

  • Keep records related to our recruitment processes.

  • Comply with legal or regulatory requirements (e.g. our obligation to check that you are eligible to work in the United Kingdom).

We may share this information with security vetting companies and the government to obtain any necessary security clearances for your employment.

How we store your personal information: 

Your information is securely stored at our offices. We will keep the information we obtain about you during the recruitment process for no longer than is necessary for the purposes for which it is processed. How long we keep your information will depend on whether your application is successful and you become employed by us, the nature of the information concerned and the purposes for which it is processed.

If we no longer need to store it, we will then dispose your information by deleting it from our servers and destroying any physical copies.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information.

  • Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

  • Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

  • Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

  • You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

How to complain

If you have any concerns about our use of your personal information, you can make a complaint to us at hello@soraaviation.com. We hope that any query or concern you raise about our use of your information can be resolved but if not, you have the right to make a complaint at any time to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection issues.
